Event, Conference and Meeting Planning Guidelines: 10 Steps to Success

Shannon Kilkenny asked:

Every event whether it’s a meeting, party, seminar, conference, charity event, or your high school reunion will have common threads regardless of what it is, where it’s held, when or why it is happening. The following common threads are found in every organized event. Make sure you plan each of the following steps thoroughly and you are guaranteed success.

1. Plan Your Vision: Your vision is the main reason and focus for having the event? It is a combination of your goals and objectives.

2. Set the Goals and Objectives: A goal is the general purpose of the event that provides a road map for the planning process. An objective is a measurable, attainable target that contributes to the accomplishment of the goal. An event can have one or multiple goals and objectives.

3. Select a Site: Location, location, location! Every event needs a site! Pick the location to match and support your vision, goals and objectives.

4. Create Promotion/Marketing Materials: You must get your message out. You need to get the basic information to the right people in the right amount of time so they know when to show up, where to go, and what to do when they get there. The message could be as simple as the date, time, and location via the telephone or as complicated as a multi page brochure for a multi-day conference with numerous events combined in one event. Or perhaps some major TV advertising and sophisticated website design for online registration.

5. Identify Your Participants/ Guests: Without them, you would not have an event. Whether they are invited guests, paying participants or required attendees, people will be coming to your event. Know your audience and target them carefully.

6. Create the Agenda/Timeline: Whether it is written down or planned, every event has a timeline. There is always a starting point and a finishing point. This is detail outline of the activities. What is happening from hours before the participants arrive to the follow-up when the event is complete. And it is the schedule of what is actually happening throughout the event. The agenda can be two types. The one the participant receives and follows and the one that the people working the event receive and follow. This tells people where to go, or what to do when you get there.

7. Establish a Budget: Money comes in and goes out. With some events no obvious money will be coming in, such as a wedding or company social. Create a budget nonetheless to make sure not too much money goes out. For larger events, budgets are a must especially when profit is one of you objectives. Without a budget it is hard to set guidelines and measure results.

8. Select the Food and Beverage: It may be a pitcher of water and mints at a one day seminar, a sit down dinner for 10,000, an all day concert where vendors will be brought in to serve the public, coffee and doughnuts at the morning sales meeting and/or soda, cookies in the afternoon for an all day conference, or appetizers served during a 3 hour cocktail party for 700 people. This is a wide and general segment of an event and will vary widely depending on the vision, goals, and objectives and of course, money.

9. Arrange for Transportation: You may need to transport 800 people from 10 hotels to the meeting site twice a day or it could be just getting yourself to the site on time. You may need to arrange the travel needs for the entertainment, speakers, and VIP’s, including picking them up at the airport. Or this may include contracting with an airline for discount airfare or negotiating with rental car companies for special rates to offer to your participants.

10. Hire Staff/Volunteers: This could range from checking in your participants for your workshop, or 100′s of volunteers at a conference or sporting event. It could be the caterers, musicians, florists, cleanup crew, equipment setup, valets, ticket takers, MC’s, speakers, or the balloon lady. It almost always takes more than one person to successfully coordinate an event.

The Secrets of International Travel Discount Airfares

Andrew Bicknell asked:

These days money, or lack there of, seems to play a large role in deciding whether to make those overseas travel plans. Fortunately it doesn’t have to be this way because even those with moderate incomes can choose to fly to far off lands if they know the secrets of international travel discount airfares. By being flexible, shopping around, and knowing some tried and true bargain travel methods you too can save money on your next trip abroad.

The biggest key to getting the best international airfare bargains is shopping around. There are literally hundreds of different fares available for just about any destination and taking the time to research and compare prices can pay off big time. The ability to use travel sites on the internet makes this task easier then ever because many of these sites will do the price comparisons for you. Using internet travel sites does need to be taken with a grain of salt though, because while they do a great job of searching the flights for you this does not mean that they include every possibility.

One technique that seems to be overlooked is checking with the individual airlines themselves. They often offer cheap tickets that can only be bought through their own ticketing and reservation agents and websites. So be sure to make some phone calls just to see what is available.

You also need to check with travel agents and agencies. These are the pros at the travel business and many times they have access to low cost international airfares that aren’t available on the internet. A good travel agent can save you money and make planning your trip a hassle free experience; something that even the best online sites can’t offer.

Also check with travel agents or agencies that specialize in specific destinations or serve an ethnic population. These types of agencies work with foreign airlines to provide discount tickets to their home countries, often at a savings that can’t be beat.

Another good place to look are “Bucket Shops” which are airfare consolidators who buy tickets in bulk directly from the airlines at discounted prices. They pass these savings onto their customers who are willing to use this system which works like this; you let them know a date range you would like to travel and some destinations you are interested in. If they make a bulk purchase that fits into your travel plans you can get heavily discounted tickets, but you do need to be flexible.

The most important part of finding international travel discount airfares is researching as many different possibilities as you can. Flexibility is also important because it gives you a range in which to find those cheap tickets. Remember, shop around and keep an open mind because you never know what airfare bargains you may find.

Discount Airfares – Do These Special Situations Apply to You?

Jamie Jefferson asked:

Airlines sometimes offer special discounted airfares for people in particular groups or in special situations. Make sure you know whether you are entitled to one of these special fares before you book:

1. Students and Teachers. Many of the major airlines will offer a discounted rate for students who have an International Student Identity card (ISIC). This card can also save you on other travel expenses, such as lodging and travel insurance. It’s easy to get a card: All you need is proof that you are at least 12 years old and a full-time student. The card does come with a small fee, but frequent student travelers will find that the card pays for itself rather quickly.

This same organization also provides discount travel cards for young people (under the age of 26) who are not full time students, as well as cards for full time teachers and professors. If any of these special situations apply to you, you can get more information on how to apply by visiting the ISIC website.

Beyond the ISIC, there are several companies that cater to student discount travel. If you are a full time student, conduct an online search for “discount airfare student” and see what’s available for reduced fares before you book.

2. Military Discounts. Most airlines offer a military discount. But you may be able to save even more by shopping around. Also, keep in mind that typically these military discounts are reserved for the military ID card holders, and most often not for extended family.

3. Seniors. Many airlines (particular the discount airlines) will offer a senior discount, for as much as 10 percent of the airfare. Make sure to shop around before you book. You may be able to get a better deal on the flight without your senior discount.

4. Groups and memberships. You don’t need to travel with an AAA or AARP group in order to get the discounts. If you belong to any of these groups, make sure to mention it at the ticket counter, as well as when you are booking your lodging.

5. Emergencies and bereavement fares. If you are traveling for a funeral or to visit someone who is very ill, make sure to ask the airline if they offer bereavement fares or other special fares that may apply to your situation.

This is typically a significant discount (often in the neighborhood of 50 percent) and you can generally apply frequent flyer miles to these discounted tickets, as well. You will need to be prepared to provide the airline with some important information about your situation. For example, if you are flying to visit someone who is terminally ill, you may need to provide the person’s name and your relationship, as well as the name and phone number of the doctor and the hospital. If you are traveling for a funeral or memorial service, you may need to provide the airline with information about the service as well as address and phone number of the funeral home.

Some airlines will require you to purchase a ticket at full price and then provide a death certificate to claim a refund in the amount of the discount. Make sure you have the information you need before you call to book such a flight.

Many airlines outline their policies for bereavement fares on their website.

No matter what your special situation, always make sure to shop around. It is easy to check discount airfares online these days, and it’s best not to assume that you’ll get the best rate using one of your group affiliations. The major travel sites offer coupons and special flight rates, with new promotions released almost daily. A little time online can save you a lot of money in airfare, no matter what your special circumstances.

Top 10 Travel Tips To Help You Book A Dirt Cheap Flight

Jennifer L. Wilson asked:

Smart travelers don’t sit in a travel agents office to plan their vacations anymore, they go to travel websites to find discount airfare deals and book their own cheap flights. Airline carriers are at war and smart consumers who know the secrets to finding great online travel deals, can take advantage of this instability and save hundreds on their plane tickets.

Despite what you may have heard, tickets on flights are not sold at a fixed rate. Most airlines have a complex grading system in place for ticket prices. They have a set number of seats they must fill for a certain price and a second block of seats they will let go for a slightly cheaper ticket price and third set of seats for a another discounted ticket price. So, at any given time when you try to buy online airline tickets, you could come up with a number of different prices.

The secret to dirt cheap airfare, is knowing exactly when, where and how to buy the tickets. Timing is everything when it comes to finding cheap airfare. Should you buy your tickets one, two or six months before your desired departure date? Will you save more by purchasing round trip tickets or one way flights? Should you travel on or off season, and exactly when are the popular flight travel seasons? And finally, should you buy your plane tickets through a discount travel site, or through a popular travel search directory like Expedia or Travelocity?

Your first tip to find cheap airfare is to check out several travel directories that offer price results for all the major airlines so that you can compare ticket prices at a glance. My favorites are Expedia.com for their consistently low flight price quotes and easy two click price checks, Cheaptickets, com for their large inventory of cheap airfare selections and sidestep.com for their huge selection of customized flight results. As a traveler you need to log on to these websites and get a feel for how often the prices change and bookmark them for future use.

Airlines and travel websites offer bigger discounts and cheaper airfare prices to people who book online because it saves them the overhead costs of printing and handling a paper ticket. So be sure to use the e-ticket option when purchasing your plane tickets online. Don’t wait till the last minute though, the best cheap airfare prices are found about 21 days before your departure date.

The highest plane ticket prices are found 14 days or less before departure, so don’t wait till the last minute to buy your ticket if you’re hoping to find discount airfare. But keep in mind that many airlines give away dirt cheap plane tickets about half an hour before liftoff.

Be sure to purchase round trip tickets rather than one way, the best cheap airfare deals are usually offered to round trip travelers.

Cheap flights during the holidays can be hard to find, the secret is to fly the day of the holiday not the day before or after when flights are jam packed.

You can save even more money on airfare if your plan your vacation during the off season. Travel professionals say that the best time to book a cheap flight online is mid-January to end February, April through May, and in the fall from mid-September to mid-December.

The time of day that you book online plane tickets is important too. If you checked plane ticket prices at 6 am and then again at 6 pm on the same travel website, you’d be shocked to find that you just lost 20 or 30 bucks by waiting too long or not long enough. Another variable that is imperative to finding dirt cheap flights is, the day of the week you make your online ticket purchase. Most traveler’s purchase their tickets on a Saturday or Sunday, but is that the smartest day to get dirt cheap airfare?
